Privacy Notice

How Callgentic Inc. collects, uses and protects personal information on callgentic.com and when we provide services to businesses.

Who we are

Callgentic Inc. ("Callgentic", "we", "us") is a Delaware corporation at 8 The Green, Suite B, Dover, DE 19901, United States. You can reach us about anything in this notice at info@callgentic.com.

This notice covers callgentic.com and the business services described in our Business Terms. The CG personal assistant has its own Privacy Policy.

Two different roles

  • When you visit our website or deal with us as a customer or prospect, Callgentic decides how your information is used. This notice explains that.
  • When our agents handle calls or messages for a business customer, that business decides why and how the information is used, and we process it on its instructions under our Data Processing Addendum. If you spoke with an agent on behalf of a business, that business's privacy policy applies first, and our AI & Call Recording Notice explains what happens to the call.

What we collect

When you visit callgentic.com

  • Our home page sets no cookies and runs no advertising or analytics trackers.
  • Our web server keeps standard technical logs (IP address, time, page requested, browser type) to keep the site running and secure.
  • Fonts are loaded from Google Fonts, so Google receives your IP address and browser details when the page loads.

When you contact us or use a form

  • Name, company, work email, phone number, the service you are interested in, expected call volume and your message.
  • For a demo call request: your US phone number, the use case you chose, and your consent to be called.
  • The IP address the request came from, which we use to stop abuse.

When you talk to an agent on our website

  • If you tap an orb and allow your microphone, your voice is streamed to our servers and processed live by speech-to-text and AI models so the agent can answer. We do not keep an audio recording.
  • We keep a transcript of the conversation, the agent you spoke with, how long it lasted, and the IP address it came from, which we use to limit abuse.
  • Anything you choose to tell the agent, such as your name, email or phone number for a follow-up.

When you are a business customer

  • Names, job titles, emails and phone numbers of your team.
  • Billing details. Card payments are handled by our payment processor; we do not store full card numbers.
  • The scripts, knowledge, settings and integrations you give us to build your agent.

When our agents work for a customer

  • Phone numbers, call audio while a call is in progress, transcripts, recordings where the customer has turned recording on, text messages, and the outcomes of calls such as bookings or messages taken.
  • Any information callers choose to share, which can include health or financial details depending on the business.

How we use it

  • To answer your enquiry, arrange a demo and send quotes.
  • To build, run, monitor, support and improve the services a customer has ordered.
  • To keep our services secure, prevent fraud and abuse, and enforce our Acceptable Use Policy.
  • To meet legal obligations, such as keeping consent and opt-out records.
  • We do not use customer call content to train AI models.

Where data protection laws require a legal basis, we rely on performing a contract, our legitimate interests in running and securing our business, your consent where we ask for it, and legal obligations.

Text messages and phone numbers

  • If you give us your phone number for a demo call, we use it only to contact you about that demo.
  • No mobile information will be sold, rented or shared with third parties or affiliates for marketing or promotional purposes.

Who we share it with

  • Service providers that host, connect and process data for us, listed on our Subprocessors page, under contracts that limit their use of it.
  • Our customers, for information our agents collect on their behalf.
  • Authorities, when the law requires it or to protect people from harm.
  • A buyer or successor, if our business is sold or reorganised, under this notice's protections.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Where it is stored

Data is stored in Amazon Web Services data centers in the United States (Ohio) by default. Customers can ask for India (Mumbai) hosting. Some service providers process data in other countries; where data leaves the European Economic Area, the United Kingdom or Switzerland, we rely on Standard Contractual Clauses or another lawful transfer mechanism.

How long we keep it

  • Enquiries and demo requests: up to 24 months after our last contact, unless you become a customer.
  • Customer account information: for as long as the contract runs, then as long as tax and legal records require.
  • Call data processed for a customer: for the retention period the customer sets, and deleted within 30 days after the contract ends.
  • Website voice call transcripts: up to 12 months.
  • Technical logs: typically no longer than 30 days.
  • Deleted data can remain in encrypted backups until they expire, within 30 days.

Your rights

Depending on where you live, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict how we use it, and to withdraw consent.

  • California residents have the right to know, delete and correct personal information, and not to be discriminated against for using these rights. We do not sell or share personal information.
  • People in the EEA, UK and Switzerland may also complain to their data protection authority.
  • People in India have rights under the Digital Personal Data Protection Act, 2023, including the right to nominate someone to act for them.

To use a right, email info@callgentic.com. We will confirm your identity, answer within 30 days (45 days where California law allows), and tell you if we cannot act and why. If you spoke with an agent for one of our customers, we will pass your request to that business and help it respond. You can appeal a decision by replying to our answer.

Security

We protect information with encryption in transit and at rest, restricted access and regular backups. Our Security & HIPAA page explains the details. No system is perfect, and if a breach affects you we will tell you as the law requires.

Children

Our services are for businesses and are not directed to anyone under 18. We do not knowingly collect children's information.

Changes

If we change this notice in a way that matters, we will update this page and its effective date, and tell customers by email.
